I am working in a growing Interior Construction company. We have 50 employees here and have a situation. labors in our company travel by taxi and submit a huge bill for convenience charges.
I request you to tell me how can I stop this in my company and also if you can provide some grade system which can help me on fixing the problem .

hello vishwas, give a suggestion to head of the company to purchase a second hand mini bus or a car with CNG.

Thanks a ton for your kind suggestion. It can help in local but we are an interior construction firm and do projects in all over India. For example currently we have projects in Mumbai, Goa, Old Delhi and Gurgaon (Haryana).
Kindly suggest me something to fix standards which can be followed in future also.

In this situation, I would like to suggest few things. Please see whether these are workable for you or not.
1. If possible, collect the data for fairs for all distances from your company. for ex. If jobwork is at any location in Mumbai, collect the information of taxi fares, which generally requires to travel to that destination. like that, fairs to travel to other cities and local conveyance required for reaching the destinations.
2. Once you will get the idea that how much approximate amount is required to travel to a parson from your location to any location, you can make a standard eligible amount data for such travelling. While considering the amount, also take care the other things, like, in case of citybus is not available, how much amt to be required for Auto / taxi. Based on the approximate amounts usually requires to travel, you can easily make a Standards for travelling.
Off course, for this, you need to collect the info and must have to consider all the possible options, but it will be a one time excercise and after that you will have a standard benchmark forever...

Dear Vishwas, You may do the grading as per seniority of your employees and fix maximum limit of reimbursement for travel per km and make policy in this regard. nitu
