Dear All,
I am in need of a policy for the employees in regards to attendance machine.This is because say a company installs an attendance machine (Say biometric) and it wants that the employee should be informed of some rules and regulation s to maintain discipline and smooth adaptation to chenged attendance system,as , the meployees ahave been utp now working on manual card system for attendance.
Kindly guide if some useful info can be gathered.

Dear friend
From old to new...from old practices to new practices from old methods to new mathos.......This phenomenon is called Change Management.
What policy you want for change management??
This starts with education training involvement and finally penalty.
First step
Call for a meeting and tell everyone the need for the new method
Second step
Issue a circular detailing the effective date
Third step
Send circulars highlighting defaulting and probelems caused due gto this
Fourth step
Review with head of deparftments
Fifth step
If defaulting continues analyse the reason. If there are tech reasons correct them first If there are attitudonal issues indicate penalty
Sixth step
Remind penalty caluse
Seventh step
Implement penalty

As discussed by our friends, there is no fixed rule or policy. Little more details would help our forum members to answer you.
Normally FIRST IN PUNCH will be considered as Time in, and last PUNCH OUT will be Time out for attendance in biometric systems.
If you use software for attendance then I will be able to give you more details
Software associated with the biometric can capture every movements of an employee if it is flashed with the readers, but for the sake of attendance first in and last out are taken.

Hi,
I went through the points on managing change and the calculation point.
I have one question. If First time in and Last time out is considered. How do you take into consideration; if one of the employee had gone out on personal work for 4 hours in between or has taken an extended lunch say for 2 hours.

WELL , EACH TIME EMPLOYEE MOVES OUT,THE SAME IS SCANNED AS THUMBPRINT ON THE MACHINEAND THE MACHINE WORKS ON EVENS" I,E TIME IN AND TIME OUT .IF INCASE HE MOVES FROM OFFICE FOR ANY WORKS HE GIVES SAME AS IMPRINT ON BIOMETRIC IN FORM OF THUMBIMPRESSION AND WHEN HE COMES BACK SIMILAR THUMB IMPRESSION IS TAKEN AS TIME IN.THE THUMB IMPRESSINOONLY SHOWS THE TIME IN AND OUT ."BUT" WHAT INFORMATION I HAVE IS THAT EVEN THE THUMBIMPRESSION MACHINE HAS TO BE MANUAALY ADMINISTERED BECAUSE SAY FOR ABOVE CASE THE ADMINISRATOR WILL HAVE TO MENTION THE CODE I.E OUT FOR OFICIAL WORK IN FORM OF CODE.WHAT I HAVE WITNESED IS THAT THUMB SSION MACHINE NEEDS MANULA DMINITRIG TOO.SO IT IS NOT HAT THE MACHINE KEEPS U AWAY FROM MANUAL ADMINITRING,BUT IT IS ONLY THAT THE THUMBIMPRESSON MACHINE MINIMIZES THE PROXY ATTENDANCE .

WELL MR IBRAH THANKS FOR THE SAME .WHAT I ANTED WAS THIAT IF THERE IS ANY SUCH POLICY HICH COULD BE SET TO CHECK THAT THE EMPLOYEES ARE ADHERING TO SMOOTH FUNCTIONING OF ATTENDANCE SYSTEM THROUGH THUBIMPRESSION TYPE MACHINE.LIKE INSTRUCTONS TO EMPLOYEES TO COME 15 MINUTES BEFORE TO CHECK THAT THE ATTENDANCE IS ADMINISTERED WELL IN TIE AND THEY ARE NOT MARKED LATE.OR PROVIDING THEM THE INTRUCTONS TO OPERATE AND THE SAME AND TLING THEM TO ADHERE TO IT.DOES AN ORGANIZATION HAS TO SET THE SAME OR THERE IS ANY POLICY TO IT ,PREFERABLY THUMBIMPRESSON TYPE.

Dear Friends,
It is quite easy in some software,where we can define in time and out time limit as per our need ,it may be next day also for a specific shift. These software can take care of night shift working also and will calculate overtime and other time management info as required since these are fully user defined and can be changed as when policy changes are taken. We too have once such windows based system.

Do you think this machine activity and function is part of your company policy............
I never heard or seen such machine function/activities related quote in the HR policies of any of the US/Europiens or Australian or Middle East Companies...........
I can just say that its not "POLICY" its only "INFORMATION" about Machine Function....
Some people mislead all members....by posting wrong questions......
