Employees may salary package the cost of one Mobile Phone handset per Fringe Benefits Tax (FBT) year (1 April to 31 March) and be exempt from FBT. A Mobile Phone is only an eligible work related item if the phone is primarily used for work related purposes. Proof of this will be required in the form of a statutory declaration signed by both the employee and their direct supervisor or manager.

A salary packaged Mobile Phone will not be covered by the company insurance policy. It is the responsibility of the employee to insure the phone.

PROCEDURES

The employee must obtain a quote for the Mobile Phone from any provider.

The employee must forward the quote along with a Mobile Phone Deduction form identifying the period that they wish to repay the cost of the Mobile Phone in line with policy to the Salary Packaging Section

A statutory declaration form stating that the Mobile Phone will be used primarily for work purposes to be signed by the employee and manager/supervisor prior to the Salary Packaging Agreement being issued.

A copy of the employee’s job description may be requested to validate the requirements.

A Salary Packaging Agreement will be drawn up by the Salary Packaging Section for signature prior to the effective date of the agreement. The agreement must be signed before the purchase of the Mobile Phone

On receipt of the original signed and dated Salary Packaging Agreement, the statutory declaration and the Mobile Phone deductions form, the Salary Packaging Section will provide a Purchase Order form for the Mobile Phone

The employee takes the purchase order, which includes the Company’s billing instructions, to the supplier to receive the Mobile Phone

In the event that the supplier does not recognise a Purchase order form as payment, a cheque will be issued to the employee via the Salary Packaging Section upon authorisation from Financial Services

If reimbursements are required, the employee will be required to complete the reimbursement form and attach a copy of the receipt. Reimbursements will be provided to employees through the payroll in the next available pay period after the reimbursement claim form is received by the Salary Packaging Section

Reimbursements will onlty be provided to employees who have and existing Salary Packaging Agreement in place, or for employees who purchased the item after entering into a Salary Packaging Agreement

The Salary Packaging Section will commence pre tax fortnightly deductions from the employee’s salary as per the effective dates in the signed Agreement

The employee is to ensure adequate personal insurance to cover the cost of the Mobile Phone.
