Performing below the level is making yourself liable for necessary action.

Hi,

Just sharing a template. You need to edit the same as per your requirement. I'm not sure of your Marketing Department size and also the seniority level of the person heading the department. In any case before issuing the letter please discuss with the Marketing Head what is expected from him/her before issuing the letter.

Template

Dear _____

On an interim review of your Marketing Department performance we would like to bring to your notice that your performance as a Head of Marketing has drastically gone down far below the expected level of the Management. We didn’t expect this from a Senior Employee like you.

We are of the opinion that your plan of action, efforts and intentions towards achieving the desired target have not been manifested rightly thereby desired result is not achieved. As you are well aware the monthly / yearly sales target for Marketing Department was arrived during the sales meeting we had with you based on your confirmation and also considering the current market scope. Also you Department is equipped with all necessary infrastructure and experienced sales personnel in place. It is appalling to not that in spite of the above the desired numbers were not achieved.

Please note that your sales target fulfillment has been running below__ % for the last___ months. We sincerely hope that in the coming months you will endeavor to strive hard to achieve the desired sales performance. We are always with you to offer necessary support whichever is required to strengthen the Sales Team.

We hope you will take this advisory letter in the right spirit and will surge ahead with new vigor.

Please sign the copy of this letter.

The proposed draft suggested above for Poor Performance cannot be answered by any workmen, as the same is not maintainable, is very vague and ambiguous.
How do you expect the charge sheeted workmen will reply on what parameter? If any show cause notice is issued for performance, it should be quantified / measurable in numbers or units or if in group / line function the recorded stoppage production line due to will full delay performance of the alleged delinquent workmen, should be established.
