Hello everyone,

Showroom should be opened 10 mins prior to our daily timing.
Could you all please help me or forward some stern ideas that i can put down in my letter.

Warning letter may be issued as a general circular cautioning all concerned of the consequences or it may be issued to a particular employee found guilty or negligent. If you are thinking to serve a general notice calling on all the employees to adhere to the code of conduct, it may be issued in the form of a circular as follows.
" It has been observed that many of you do not adhere to the code of conduct of the organisation. Very often it is seen that you do not dress as per our dress code. It has also been noticed that the office/ shop/ showroom is opened not in time causing much delay in starting the business and causing our valued customers to wait for us. The practice of work arrangement/ assignment well in advance has not been followed causing undue delay in placing and scheduling personnels. There were instances of personnels abstaining from work when they were suppose to be at work. All these will be viewed as serious misconduct from the part of employees. Therefore, all are hereby cautioned/ warned to refrain from these and other menas of unfair practices and the management will be constrained to take disciplinary action against those who are found voilating the code of conduct hereafter."
If you want to issue a letter to a specific employee make it clear what he was doing/ not doing at workplace or what is/ are the charges against him and ask him to explain within 48 hours why action should not be taken against him.

Good One Clifford but there are some grammatical errors which I have corrected:-
Dear All,
We all are well aware of the office hours which is from 10.00am to 6.30pm. However, it has been observed that most of the staff is not reporting duty on time and thus violating the code of conduct of the organization. This is being viewed as serious misconduct from the part of the employee.
Henceforth staff will be given a grace period of 15 mins from the reporting time. Two initial warnings will be given, on 3rd warning a day’s half salary will be deducted from the monthly package.
Emergency circumstances or some other natural problem should be informed to the person in-charge and the reception (compulsorily). Only genuine reasons will be considered.
Kindly adhere to the above failing which the management will be forced to take strict disciplinary action against those who are found violating the code of conduct hereafter.
