Hi Bhavesh

I am a bit confused as to what exactly you wish to communicate to the team members. I presume you are planning a PEP and would want to emphasize to the participants that this PEP is specifically organized to give them one more opportunity to learn and implement ideas so as to meet their targets. If this is the intent the outline of your communication could be as under:

__________________________________________________ ____________

Dear _____

Sub: Your attendance is compulsory at the Performance Enhancement Program being organized on ____

We have assessed and evaluated your performance during the past year and we believe there is a lot of scope for you to do significantly better and achieve the targets set for you. It is unfortunate that you were unable to meet the performance standards laid down by the management despite the refresher courses, product training and the motivational inputs given by management from time to time.

In our opinion, you have the potential and ability to deliver as per our expectations. To help you achieve and realize your true potential, we are organizing an intensive Performance Enhancement Program on ______ at ____ from ____. This program covers the following_____

Your attendance and active participation at this session is compulsory. The sessions are specifically designed to help you cope up with the job responsibilities, enable you to evaluate your own short comings and assist you in refocusing on the targets and the means to achieve it. Your attendance will also reaffirm to us your commitment to the organization and your goals.

We wish you all success in utilizing the learning from these sessions in meeting your professional and personal goals.

Regards

Thanks a lot Mr.B.Jacob for your valuable inputs!!!
To throw more light onto it.. i need a letter which communicates the reportees that despite the extended support by mgmt/immediate supervisor, they have been contineously not performing/under performing against the sales targets assigned.. hence to put some deadlines to achieve the shortfallen targets & be on track or else company might take strict majors & may led to seperation too..

Bhavesh.

Hi Bhavesh

Thank you for quickly reverting and clarifying your requirement. Let me attempt another outline bearing in mind your current requirements.

-----------------------------------------------------------------------

Dear _____

Sub: Feedback on your performance review

We have assessed and evaluated your performance during the past year and we believe there is a lot of scope for you to do significantly better and achieve the targets set for you. It is unfortunate that you were unable to meet the performance standards laid down by the management despite the refresher courses, product training and the motivational inputs given by management from time to time.

In our opinion, you have the potential and ability to deliver as per our expectations. It is because of this belief we have in you that we are communicating our disappointment in you not fulfilling your promise. However, we are willing to extend our support and commitment to you for the next ____ months so as to help you meet the shortfall in your targets and enable you to get your performance back on track. You are welcome to meet your immediate superior and or the administrative manager for any help, support or guidance that you may need.

It is essential for you to note that this is a final opportunity for you to meet your sales targets and perform up to the company's expectations. In the unlikely event that your performance does not meet the benchmark of the company we would be left with no choice but to take some stern and possibly unpleasant action including terminating your services.

We are sure you will make full use of this final opportunity to make a determined effort to meet your targets and also reaffirm your commitment to the organization and your goals.

We wish you all success in meeting both your professional and personal goals.

Regards

Trust this outline can be suitably modified by you and enable you to effectively communicate your concerns to your staff.

Best Wishes
