Here you go with the answer regarding the responsibilities of an Payroll Specialist.
Daily/Ongoing Responsibilities
• Approve company-wide manual checks and assume responsibility for
maintaining wage and hour law compliance related to issuing and distributing
manual checks. Process manual checks when the human resources/payroll
coordinator is not available.
• Process stop payments, ACH reversals and void checks in the human
resources/payroll system when the human resources/payroll manager is not
available.
• Process W4 and direct deposits and provides back-up for employee
maintenance updates e.g. transfers, pay changes etc.
• Research pay check and misc. payroll discrepancies.
• Provide ad-hoc human resources/payroll reports as requested.
• Maintain the payroll email box and respond to all inquiries.
• Perform upgrade testing to ensure that each upgrade does not have
functionality that will prevent the company from processing payroll.
Biweekly Responsibilities
• Assume full responsibility for all tasks associated with processing biweekly
paychecks e.g. importing and exporting time data from the point of sale and
time and attendance system, validating hours, running audit reports,
inputting adjustments, calculating pay, auditing checks, verifying final hours
and earnings prior to transmitting the checks, submitting the direct deposit
file to the bank, tax and positive pay files to Ceridian and Wells Fargo. Run
all GL reports and download associated with the biweekly paycheck
processing.
• Assume full responsibility for processing all supplemental and adjustment
payrolls. This includes bonuses, stock entries and month end adjustments.

adjustment payrolls.
• Assist human resources/payroll manager in maintaining the existing audit
systems that are in place to help minimize processing errors.
• Input employee garnishments into the human resources/payroll system and
maintain the garnishment files. Verify the biweekly garnishment amounts,
submit check requests to AP and distribute the check to the levying agencies.
on a biweekly basis.
• Provide the human resources/payroll manager GL reclass reports and backup
for miscoded earnings, deductions and taxes after each payroll.
• Other responsibilities as assigned by the human resources/payroll manager.
Quarterly/Year End Responsibilities
• Audit manual checks to ensure that all checks and voids are inputted in the
payroll system.
• Audit the stock entries in the human resources/payroll system to ensure that
all entries are processed and inputted accurately.
• Play a key role in year end auditing and W2 distribution.
• Other quarterly responsibilities assigned by human resources/payroll
manager.
Roles of HR-Generalist:
This team is actually a backbone of the HR-Department. The job-responsibility of this team starts on the day of Induction with Joining Formalities. The various roles that they are expected to perform are:
1. Joining Formalities
2. Handling Employee Database (Both in Soft Form and Files Management)
3. Leaves and Attendance Management
4. Handling the payroll
5. Managing advance Salary, Ad Hoc Bonuses, Loans
6. Confirmations, Performance Appraisals, Performance Management
7. Liaison with various government organizations for Employee Provident Funds, ESI and other Retirement Benefits
8. Exit-Interviews
9. Full and Final Settlemen
