Dear All, We are providing workers with pay slips. This is printed in dot matrix printer. Recently we are having difficulty in getting the printing materials and service for this printer. It has now become obsolete and redundant, so we have decided to migrate to a new printer which prints the payslip in A4 size paper. When this change happens only the layout will be different but the salary components and the deductions will remain same. So my question is whether it is mandatory as per any prevailing labour law that we should intimate the appropriate authorities?

Salary slip works as proof of income. and it is a legal requirement for the every employer. Even though employers must issue Salary slips to their employees, pls note that it is not mandatory to provide printed slips. you can share through e-mail on monthly basis. Mostly companies are doing the same.
You can directly share through HRMS/ Attendance software.

So long as the employment details, salary components and deductions are available in the payslips, there is no non compliance. Therefore, there is no need to inform the labour authorities. At the same time, if you are sending soft copies of the pay slips to your employees, the approval should be obtained for that from the appropriate authorities. Though we are using electronic registers, reports etc, the same are required to be authenticated. In many states, even administrative directions permitting soft forms are not available. But the authorities won't question it.
