Dear All,
I'm new as HR & I need some ideas on how to advise an Old employee who has been with us. As I monitored pass 3 months she keeping away from her duty by giving excuses to the restroom for almost 20 minutes per session, 3 to 4 times a day, basically every working days in a month.
Please help...

1.Try to be friendly and start discussion with her with openness.
2.Let her tell the reason why she was going to rest room more frequent.
3.Please observe whether she is telling truth or not.By this we may come to know what is the exact reason.a) It may because she is really having some health problem.b) It may because she wants to skip the work (having less work load). C) It may because she is so lazy...... or could be any reason.
4.And then it is a time to give her a warning or advise to change the behavior

My suggestion will be to find the reason behind her activity, see if it is due to some medical reason, then the call should be different. However, this should not become a wrong role model to others in the office. Please engage a female HR person in this job, as the person under discussion is female, may have reservation in talking openly with male. Based on the outcome of the discussion you can decide on the next course of action such as

1. Medical reason - please get a certificate from her doctor as the time spent out of seat is around 1.30 hours per day and it comes to 7.30 hours per week (considering you work for 5 days a week and this itself accounts for almost a working day lapse), this step will support you for the record and if any query arises around this, then to prove.

2. If any other reason, you should give a counselling, (before that please ensure about her with her immediate boss)

3. Give some nominal time to change her behavior, if no improvements, then in consultation with your department, issue her a warning letter, even then if it continues, please deduct salary in lieu of the time lapse and then serve her a severe warning letter and then a final call.

Such cases to be dealt with properly. First of all you should know whether she is doing intentionally or with some health problem. If it is
health problem, advise her to take 1 or 2 months leave and then join. If her services are inevitable and she commands her job, you
must talk to her and give her free hand say one or 2 months whether she wants to undergo treatment or mentally upset and finally
you can arrive at a decision. If her services can be performed by any other person you can terminate her by showing reasons
what you have observed and terminate her by giving notice period.
