Hi!!!
Please help for below issue.
Employees in my office avails leave by informing their respective HOD but not informing HR Dept. As per company policies any employee applying for leave has to keep HR dept informed about the leave.They were already informed that while applying for leave they have to fill Leave Application & email it to their HOD keeping HR dept in CC, but no one is follwing this policy. And also we have Biometric Attendence machine at the enterence, but If anyone leaves early or comes late they dont punch in / out time. Due to this, I am unble to keep the record. Everyone is taking things for granted. Its really frustrating.
Now in this case I want to send out an email to all employees to strictly follow this policies. Can any one send me draft of the same plzzzzzzzzz.
Kindly reply to my queries.

Hi,
Give the brief introduction mail about leave process to all staff and strictly tell them that " will put it LOP if employees are not submitting leave application to HR-Department.
Coming to Late comings and early leavings : see the 3 times in a month if it is more than 3 put it half day by intimating to the their respective HODs.
You there to st up the policies.

Dear Prakriti,
You can straight away right in the mail that in the absence of any leave application to the HR dept. the leave will be considered as LOP.
Also, if anyone is coming late and going early and not punching will be marked as absent or half day.
You have to be more strict in the implementation of the HR policies if employees are taking procedures as granted then you can take up a meeting of all the employees in group and explain them the importance of HR function and also tell them about the consequences if they fails to follow.

With reg to your query-rather than email you can go for open communication like morning meetings or conduct a meeting and minute it or you can share the same in notice board too.
(As all employees may or may n\'t have email id\'s)
Reg:Late marking I agree with MrAshoknegidi-Ensure communication to be two way in an open meeting.

Hi You can put a mil to all HODs regarding intimation of leave CC to HR department otherwise it will be treat as a LOP.

You should tell all HODs through their GM to forward all approved leaves to HR for processing employee salaries.
In case of missing Incomming/ outgoing punch. employee should fill Onduty slip and get approval as in case of leaves, and the same shall be forwarded to HR by their HODs.
Also, their approved leaves shall reach HR five days before making their salaries else mark them for LOP.
You need to adhere above for least two/three months, all will come in line.
