Sir,
We are facing the problem in attendance of contract people.
We are managing with manually card. Can anybody suggest how can we control.
We are having 500 contract people.
20% are changing everyday. How to manage every day their attendance.

Tell the workers before appointment that they have to continue this job at least 15 days then only they are eligible for salary.

THe answer depends whether they are under a single contractor or different ones
If it's a single contractor, then have him put a finger print or swipe card machine at security gate and let security ensure that every one puts his own attendance only
If you have multiple contractors, then each can put his machine, or if each has too small, then u can put a common one. Bur ensure that it's separate and distinct and disconnected from your own attendance system.
Attrition is a given in contract employees. You have to live with it. Asking contractors to provide photo swipe cards is a way of making contractor serious about retention as it costs him money to get new workers. Alll your info teach team has to do is add new names in the system. At least records will be propery maintained irrespective of how many people come or go

What is swipe cards. Which will be better for contract labour? attrition rate is high.cost will increase. will it be advisable?

Mili,
Ask your contractor to put a supervisor for the same. That surervisor would take care about the Recruitment-Attendance-exit etc. make two registers for male & Female, make entry of that perticular labour for that particular date, & in last date of the month mark respective labour's attendance in attendance sheet. if your company registered under factories act then do not need to use any attendance machine. feel free to contact me.

Single contractor makes it simple as you have to put only one attendance machine for all contract workers.

Swipe card is a magnetic card which records attendance (in and out) by being swiped in to the machine on way in and out of the gate. The card has details of the eployee (emp code for example) embedded into the magnetic strip. By making the swipe card into a photo I'd card, you ensure that no one is carrying a card belonging to some one else.

Using biomatric attendance is better. It records the finger print of the worker and verifies that to ensure that the person putting his attendance entry is the true one. The machine costs more but there is no per person cost of issuing I'd cards. I bileve the finger print attendance machines should cost about 35-50k each, depending on level of sophistication you want.

For swipe cards, the machines cost as low at 18,000. However, each mag swipe card will cost you 35 - 50 rs. So with atteration, the cost iprepeats each time someone leaves and a new one joins.

Dear Mili,

Ask the contractor to deputed or recruit a supervisor for your unit. If it is on shift basis there should be a supervisor for each shift.

The supervisor should provide the manpower list given to the department and get it signed by your department officials at the end of each shift / day.

On raising the monthly bills by the contractor, check for the man days given and actual with the respective departments officials.

On other hand Swipe cards / Finger access will not be working out for the lower cadre people since installation cost is high as well as the turnover ratio is also very higher in this cadre. so it is not feasible because each swipe card costs Rs.50/- to 65/- and also for registering for Fingerprints needs a person to be deployed for the same since every day there will be 25 - 30 new workers because there is a huge demand for the lower cadre / Blue Collar work force.

Have a manual attendance register at your security gate and ask the contract employees to sign with your security supervision. If it is difficult then have the register at the respective departments / Shop floor.
