Dear Sheetal,
It would be in your interest if you write the draft and post it here. There are scores of senior member who will correct the draft. While writing write the details of the incorrect call handling. When it happened, where it happened, what were the consequences etc.
If you do not write at all and rely on seniors then you will never learn drafting. Is it acceptable to you?
Secondly, we use the word "candidate" in reference to a person who applies for some job and we conduct some test to asses his/her suitability for the job. If the person has already joined and working for your company then he/she is to be referred as "employee" and not as "candidate".

Dear Ms. Sheetal
We are lucky to have with knowledge guru's like Mr. Dinesh who can be considered as expert in explaining things. Besides there are many others like Ms. Archna, Ms. (Cite Contribution), Mr. Simhan etc...
We should learn to use EXACT TERMINOLOGY or PERFECT VOCABULARY while posting our queries.
Any ways none is perfect including me and there is a always scope for improvement.
Letter drafting is a skill and ART as well. You have you to be creative and please ensure the following while drafting A letter..........1) PURPOSE 2) RECIPIENT and 3) CONTENT besides PUNCTUALITY and usage of FORMAL LANGUAGE which should never hurt EMPLOYEE FEELINGS.
