Hi Seniors,
We have a major problem on attendance,we are SAP B1 Channel Partners.
Most of our employees work from client side.Problem is that they don't send there attendance on daily basis.They don't let us know there leaves,as employees on client side help each other on this.For me its not actually possible to call all the employees for attendance. We tried all possible ways..
  • Like asking them to mail there attendance on daily basis.
  • Call from client phone when they reach on client side.
But they do it for few days and then again same issues.They say they don't get access to net everytime (Net is slow or not working),sometimes the lan lines of client is busy and many more reasons..
Can you please suggest me some reliable way to record attendance and get rid of this problem....

Hi Pooja,
See basically we are also having our accountants on client place but when they reach there they call me or if they dont call i just make sure that they are present. But as of your problem you can do one thing that just make policy of deducting salary for the same or just frighten them.

Hi Harshada,
Thanks for your reply but than we tried this also they do it for few days and than forget,again most of the people are on client end around 45....so receiving calls from 45 people every morning is again a crazy stuff for me...If u can think of another alternate ...please let me know.

See pooja this or that you have to do that or tell them to mail you the same. Or tell your receptionist to take the attendance daily and report you the details.

I don’t think it is that complicate. Link the attendance with HR site. Ask these employees to go online every day and mark their attendance online…just by clicking on some tab. For one month, take that attendance as a final and calculate their attendance accordingly. For one month, if they will get less salary then from next month onwards they will start sending their attendance dedicatedly and sincerely without any issues. Try this. It will work.

Dear Pooja,
This is not a big problem. You can simply start deducting their salary and after one month, they will automatically start reporting you for their attendance. It's not a big deal. You must have heard about this - "Laato ke bhoot, baato se nahi mante".
Suddenly, I have got one more point in my mind - First of all, just ask them that why they do not inform you... Are they careless/irresponsible or what? Are they really having any problem in informing you... If they have genuine reasons then just try to sort it out and if they are irresponsible, then warn them once for their salary deductions and if still they do not get ready to inform you then you can take above mentioned action.

HI Pooja,
May be i can give you a little bit help... ans you can link thiing with ur problem ... when i was working in Pharm company thr .. we had Medical Repersentatives who work on sales and we use to hand over then the DCR.. ie Daily calling report and make sure that they write the name of the Doctor whom they have visited and at the end of the month they mailed us the DCR and mark their attendance...
Now what you do here you can make a sheet with the name of Daily Report(DR's) and each employee are make sure to get it sign by the Hr and the immediate superior under whom they are working and then at the end of month you can mark their attandance.....

Hi Pooja,
I look at it in two ways:
1. In the scenario of client based project work, if the work is well done to suit client's requirements then attendance is not an issue. A call of attendance from client's side does not ensure performance. For all you know, he/she can call you in the morning and then leave!!!! So, I think for this kind of an issue it needs to be more performance based and adult treatment.
(or)
2. Link up their attendance for the project duration with the Client's HR. I am sure they will help you with this.

look I'm working in mid-larg FMCG firm and have branches in many location ,
TO Daily follow up of time attendance , i advice the following :
1- you can make a site visit for the first time
2- you can buy fingerprint machine and install it on site , and get all finger print for all employees
3- issue circular note about responsibility of finger print at comming & leaving
4- attach the finger print to pc and get the daily report
according to report you deal with suituation , warning , salary deduction
5- the more important , you have to CLARIFY the important of time attendance and its reflect on organization
6- authorize trusted & leading person to daily follow up time attendance
7- at all , you can measure the Goal achievement for the team
