Thanx for your reply. I also wanted to know that do we have to retain the duplicate copy of the relieving letter signed by the employee or his resignation letter is enough....I know what formalities are to be fulfilled but have no idea about this.....

Hi Himani,
See actually these are the process been involved for the cmpletion of resignation process..
First of all the employee put his resignation letter, either he serves the Notice period or not..
If he serves the Notice period then we do pay him all his earned balance leaves, whereas if he doesn't serve the Notice period then we do deduct the Notice period amount from his payable salary, even we adjust the same with his available earned leaves in his account..
Then we conduct an Exit interview with some of the questionnaire
After that on his last working day we provide him the Acceptance of resignation letter, relieving letter and Experience certificate.. We do keep one duplicate copy duly signed by him to his Personal file..
After that he is asked to clear his dues with the Accounts dept. after 7 days..
In between we prepare the Full & Final Settlement statement and forward it to the commercial/Accounts department.
So after that Accounts dept. clear their dues.
Hope now it will be very much clear with you regarding the resignation process.. Full & Final Settlement,, etc..

if the employee gives his resignation after he resigns.what date shud we mention in acceptance letter as relieving date
suppose he didnt give one month notice and absconded on 12.08.09 and submitted papers on 24.08.09 stating that resignation efefcts from 13.08.09. so which date we need to mention as reliving date in acceptance letter
