Yaar Asha... Just noticed something in the visitor's detail form...taking into account the scenario that you have explained...I feel DATE & IN/OUT TIME of the Visitor should also be included.And "the affix photo" ..I wonder if visitors will carry photos with them(taking into the fact that the employees are 12th or less passed outs).
  • marital status ans sex should also be included in a basic form
  • You can also ask the visitor to carry the form with them and get it also signed by the one whom they visited and shuould return the same on exit.this way you can have check if that visitor has met the same person whom he informed to meet at the entrance

And regarding photo - actually the girls are hired from the villages, and when they come to join us, we ask them to be accompanied by their parents/people who would visit them in future.
At that time, we can ask them to bring their photos.
Since its seasonal recruitment (scheme girls) - maybe we can have a photographer take the photo of the parents and give one copy to them - to keep one copy in the visitor card. :idea: - I dunno if Mgmt would be okay with the clicking photo part tho...
And yes, we will have a note where the girl will sign.
I am thinking of "a seperate room" for visitors. That is - anyone who wants to meet them, can meet them there. . . . (just thought when you mentioned abt the signing part)

Understanding that this will also be provided in the regional language, You can just mention the no.of children/brother/sisters instead having separate fields for each.
Then, you can re-arrange the order maybe, pushing down the physical data below educational data. There you can include details of physical challenges as mentioned in the form.
Also you can includes the contact person's address too apart from their contact nos.

Oh fine then..if you are able make arrangements for photographers!! Yep. a separate visitor's room would solve half of the problems dear..You can also include a field for any previous experience(if they were working in any other mill earlier)

The 'Religion & Caste (BC/SC/ST)' column can be added. It will be useful for the organisation as well as for submitting data to Govt agencies, if asked for.

Dear Asha,
First of all how your organisation has permitted that type of visit at your shopfloor area, doesn't matter they are relative of our employees. We might be loose our bussiness screts through unauthorised / unidentified visitors. I think we have to prepare a policy for visitors / organisational guests, and include at what level of point they can visit. Also mention that some specific time of meeting, fix a meeting area, if your employees go out put them absent or mark shortleave / leave etc.
Please note that I do not aware that what type of organisation you have, its my personal opinion, if possible you think on it.

Dear Tiwari,
You do have a point.
Ours (this unit) is a spinning mill. We do have a seperate hostel for girls (they are very young). So we allow parents/sisters/brothers to visit them.
Sometimes, we haev them come and pick them up during weekends and drop them back on the start of the week.

Dear Ash,
I do agree with Johny.....i think u should have one seprate visitor room with Close circuit camera....u can record the persons acitivity also and it would be beneficil for future references.......and similary u can maintain ur visitor register also as earlier i suggested u .....

Dear Asha,
Thanks a lot for taking note of the same, It is better to decide you according to employees and employers, but here we can suggest for a smooth and hassle free working environment. I do not suggest that you put hidden camera everywhere, because it is going to change employee’s mindset, and it is not favorable for your company. And you do not control their weekend visit to their relatives you can only put a control at your premises only. You have put a visitor register at the hostel's main gate and ask security to follow strictly also put a pass system. Where act is going to fails tact will works, you can have an employee feedback survey on that how they feel regarding frequently visits of relatives and apply moral policing at your company. One more thing you can emphasise on your IR network to keep real informations of what is going on shopfloor.

Hi Ash,
1. I would suggest you should include the language known coloum in the application.
2. In the Visitor Application I don't think photo coloum is required but you can add time in and time out.
3. Issue them the Gate Pass and take there ID and return them back while leaving.This will help in keeping a track on visitors.
