Hi, My self, Jinsy working as an Hr Executive cum Admin in an IT Firm. Can anybody suggest me some fruitful movement toward making the department more efficient. Meaning, what all aspects should i concentrate on getting more productivity?

First list out all your tasks and periodicity
List out out all laws your company is to comply from HR angle-Minimum wages,ESIC Pf etc.
Make a month wise chart of HR events and then work forward to ensure things go as per schedule.
Obtain copies of laws applicable to your HR department and see whether you are missing out some thing important.
You must be through with the requirement of your job and how your activity fits with overall running of the factory/office/establishment and with experience you can smoothen work .

Employee productivity is too complex. It depends on motivation of workers, culture of interdependence and cooperation, quality of the machines that they use (servers and computers in your case), quality of the raw materials that they use (not applicable to you), leadership qualities of the managers, their own job knowledge, remuneration as per market standards and so on.
Second thing for you is to do the time and motion studies. Study the cycle time for each process. Find out whether whether any process is redundant. Find out whether any resources are idle during working hours.
Third thing is multi-skilling. This is yet another method of improving the productivity.
Fourthly, encourage suggestions from the employees. Good many suggestion come from employee themselves to improve system or processes.
Fifthly, employee productivity also depends on their empowerment. If the employees are straitjacketed, then how they will be productive?
Lastly, productivity improvement depends on the productivity measurement. How do you measure their productivity? On what parameters do you measure their productivity? Is personal productivity linked to the department's productivity and has department's productivity linked to the organisation's productivity?

Empower employees
Train employees
Ensure they are compensated rightly and timely
Make sure that employees are aware of the organisation goal and their importance
Make them feel the ownership of their responsibility through clear instructions and understanding
Also Make them aware that how things will impact adversely if not performed well.
As a Leader be with them and involve them,do not micromanage.
Set Example for them,
Discipline is first step towards productivity.

Rules Does not work Always.# employees need empathy and right guidance to show them how to climb the Ladder of their growth while the Organisation is Growing.Key to Quality and enhanced productivity is exercising true leadership and not the micromanagement.

Dear Jinsy,
On the captioned subject our mebers have given their input how to deal. One thing it is not understood what make you to think that productivity of the employee is low than your expectation. If really productivity is low, you need to make a survey to understand why there is low productivity. It is required to understand whether this is due to Human factor or Capital or Machiniary, all these are inter connected. If it is human factor, you need to know which aspects : is it due to poor knowledge or something new to work force or lacking guidance & supervision or lacking motivation due to low incentive/poor welfare facility........etc. The dimension is huge you just can do the HR part that is missing..........a collective response is required.

Dear Jinsy,
Productivity can be increased in a number of ways. Our learned members have given their valuable input. Your message says that you want to improve. The immediate question that flashes in my mind is ‘from current level’ to “what (desired) level?”. What will be the determinants?
One approach to any sector is to concentrate on Machine, Money, Method, Men etc that focusses on resources. Examine which of these inputs that needs to be augmented. It could be more than one also.
The competency of the person according to me will be the next point to consider. There are three components to it namely Attitude, Skill and Knowledge. For each person see the areas that need attention and design improvement programs accordingly. As an example, I have attached an image for a student. Similar attributes can be made for your employees to achieve higher productivity.
