Hi, We have outsourced the Accounts work and a person from the consultancy comes to our office four days a week. Does the company has to have any agreement with the person? Does the HR has to give a joining formalities just like the normal employees.

You have outsourced the accounting work to an agency. Now it is up to agency whether to assign this job to 1 person or more than that. It is up to them to send a person four times a week or more/less than that. Therefore, there is no need to issue any appointment letter as such. However, since he will come inside your office, general code of conduct that is applicable to all the employees will be applicable to that person also. Design code of conduct and take signature from him. Please note that this code of conduct is different from Industrial standing orders of your company. Secondly, since that person will handle accounts-related work, obtain from him non-disclosure agreement.

Your organisation outsourced the accounts related works/services to the consultant, in general, auditing, bill verification, expenses, accounting issues related to liabilities/assets and profit and loss accounts only outsourced, all other collection, revenue related to cash/cheque will remain with the parent firm. The consultant collect the information and produce in a modified way to the head for further or for other issues. Here, in the absence of your role it is difficult to give any opinion, however, better remain vigil in the activities of the person collecting the information, get proper signature, systems should not disclose all the datas, only the datas required to the consultant be looked and all other informations unless authenticated be given to him, while using external instruments, always, get it verified for virus protection no information stored to the external drive without proper permission of the head are to be scanned properly. Also, the person should not assess your system from outside the organisation.

So i can get the person sign the 'confidentiality agreement' that is signed by all the employees?
It is going to be one person who would be constantly coming in, so we have issued a ID number for the creation of bio metric access. I have created a general information sheet for the person and also asked to submit photo and aadhar card copy. is this okey?
