Please help me with formats related to permission for non-punching in our organisation. Many employees are outstation so they cannot punch. But as it has become compulsory to punch,they have to take permission along with authorised signature for thier attendance.If anybody has format for the same,please forward it.

It will be difficult for the employees who are out station hence it is better to ask them to forward a monthly report to their HODs so that the HOD can verify, authorize and forward to HR for regularization of attendance.
S.No. - Date - activity performed - remarks.
basically the outstationed people of from sales and marketing / service engineers hence they can write down the activities like whom they met, what is the business enquiries, orders, supplies, collections etc or the customers attended, services attended / completed on daily basis. for these type of people it is better to have a weekly report than a monthly one.

ok thanks...but suppose one of the employee is from working staff and due to work (example attending a sales exhibition or in HR case training for staff in other branch he has go outstation for 2 days...according to punching report..he will be absent to 2 days...I wanted a form format asking permission for non-punching for such employees as i am facing a problem in salary calculation in these cases..Please forward any such format.

The same is called as On Duty Permission slip.

Let me understand your system is it centralized or decentralized process ...
i hope with centralized process ,you may dont have issue ...system software can gives you complete report ....however it should be properly communicated the process of Punching with centralized process ..
Even ,you can maintain decentralized process like log report of out station candidates via SMS,Email,Daily activity report or onsite attendance register ...it is compulsury each and every associate has to give attendance either in two ways....

If an employee is continuously on tour outside the city then you may ask him to submit tour intimation form duly signed by him and approved by his HOD. In case is out of office within the city for official purpose then you may ask him to submit local tour intimation form and you may mark in OD (Outstation Duty) or LT (Local Tour) in your attendance register as the case may be.

This format prepared for the employee submission format. But most of the companies prepared and implement the Management approved on duty formats. On duty means the employee permitted to went out side of the premises for the official work with prior on duty permission slips . But for the late coming or unable to punch their time cards into the time machine was entirely different from the above. I also agree with this but we may add some addl. details along with this format.
For non/punching staffs if they refused or unable to punching in time was not mentioned with your reply. Then only we may arrive anyone policy.
Tell me for the late comers what are the actions advice by the management or taken.

hi all, myself veditha, most of our employees works in out of station always. please help me how to track them. at present they are sending the time sheet for their visit and work but we dont have a track exactly they worked and not. i need their presence with proper time and location and work hours. i have tried with some tracking software also but it was not succeed because of all software's required internet to track but some of our suppliers are stayed in remote area. please help me out if u find any device for tracking.
