Hi all,
We are small company. We are considering providing vans for employee transportation from various parts of city. What all points should i keep in mind while designing this facility ? Is there any rules I have to follow while contracting with a private cab / van company?

Hi,
1. Get the info and status from van providing company
2. Also have talk with companies whom they provide the service.
3. Fix monthly rate for the same.
4. Get the legal papers Xerox before contracting with them and check is it valid or not
5. Also get the drivers info now a days its very important .
These are some points while working on it you get more ideas

Hi,
You should chalk out a plan for transportation. Have your boundaries very clear and say the transport will be available only till such place.
Draft a policy on routes, timings, adhocs, security in the night etc. If there is deduction mention prorata/flat.
Set the expectation of all the member right on day one.
THERE IS NO MIDDLEPATH IN TRANSPORT. Either it is a YES or a NO. There is nothing like "We will work", "we will try" etc.
Track any change that will jack up the cost.

It is very essential that the vehicle used in the transporting the employees are:
01. In good road worthy conditions all the times.
02. Registered as Commercial Vehicle and not the in the name of individuals, as these cannot be used commercially under the law and could create problem later-on.
03. Put all the operation onus on the contractor.
04. Most Important: Keep the contractor content with the regular payments, as operation cost him. Always keep in mind that contractor is providing you the service and not funding your establishment. This is key to success.

Guys,

Can anyone help me with a internal transport policy. I have been working on this for quiet sometime now and have made number of drafts on this. But, my management is expecting me to cover lot more point with this regard. I'm gone blank and not getting any points to add other than those given below.

please share those points you may be knowing and having it ready with you.

• All vehicles shall display standard size sticker of XXXX name and logo. If the vehicle is found without the sticker, we request you not to board the cab unless authorized by the transport management of XXXXXX.

• All vehicles will be provided with a first aid kit, umbrella and fire extinguisher.

• Smoking and or food consumption in vehicles is strictly prohibited.

• Pickup and drop will be strictly from point to point (home to office to home)

• The permitted speed limit is 40 kms per hour (in residential areas) and 60 kms per hour (in normal roads and highways)

• Employees are requested not to give their land phone/mobile numbers to any of the drivers

• Drivers will not wait for more than five minutes at each pick up point. You are expected to board the car within this time failing which you may have to make own arrangements for commuting.

• In case of any vehicle break down while in commute, replacement of vehicle shall be provided immediately, however if there is a delay in providing the replacement vehicle, the expenses incurred by the employee for commuting from the breakdown point to their office/residence shall be reimbursed. (This clause will not be applicable for employees travelling between 8pm to 7am). Between 8pm and 7am employees are requested to wait for and use the transportation provided by XXXXXX)

• All women employees will be picked up from the front of their residence and will be dropped back in front of the residence.

• Employees are requested not to board the cab in case there are any other unknown person in the cab along with the driver (other than our security personnel)

• Employees should request for a cab at least 15 minutes before their log out time. This will give us time to organize for a cab in the premises for your drop back to home.

• Any female employees being asked to work beyond 8pm to meet their deliverables will be entitled to use cab facility for their drop back to home. However, request for a cab needs to be sent by the line manager to the local travel desk at least four (4) hours in advance.

• Female employees working between 8pm to 7am will be provided with an escort guard, if they are the first pickup and last drop.

• Employees should ensure to fill in the trip sheets and sign the same after every pickup and drop.

• Routing and clubbing will be done by the transportation team of XXXXX and the same will be shared with all users. Employees are requested to follow the routing accordingly.

• Cab facility will not be provided for those employees leaving office before his / her working hours.

• If you find the driver driving rash/negligence. Inform us on XXXXXX

• At the time of drop, if there is any other employee who stays in the same route and expected to logout within 15 minutes time. Then the employee would be requested to wait for a maximum of 15 minutes for the other employee and clubbing would be done accordingly.

• Employees are requested to keep the local travel desk informed at least a day in advance, if they do not require a pickup / drop. Last moment cancellation will not be encouraged.

• During the commute, if there is a conflict between the driver and other commuter for whatsoever reason. Employees are requested not to get down from the cab and if you feel necessary, please inform us on XXXXXXX

• If an employee has availed the cab facility for his / her pickup and opts to go back home on their home, then he / she will have to fill the form that shall be available with the front office / local travel desk.

• In the event of bandh and any unforeseen incidents. Clubbing may not necessarily be on the same route and employees may also be required to board the cab earlier than the usual pickup time.

To be prepare Transport Policy and route deviation kilometer limit ,also rash driving stickers to be fixed on cab. helpline and emergency contact no pamplates to be fixed on seat, emrgency switch and Gprs unit need to be fixed in each cab by vendor-- for more information contact - 8483088829

Hi, You can also add maps to trace location where the employee is getting picked/dropped or a biometric kind of software when the employees enters and exits the van. This is mainly for safety reason.
