Hi all,
In our Company, i have noticed that there is no definate chain of command. An employee will not show up to work and claim to have notified any supervisor or manager. Could you please send me a format of an inter office memo to circulate with details on who to notify incase of absence.

Dear Koshikalulu

Usually every organization has a Leave Application form. If someone is willing to take a leave or has already taken leave, he should fill the application and submit to HR Department with prior approval or imediatly after availing the leave. The is a common practice.

You can send an Inter Office Memo saying:

This is to inform all employees of (company's name) that any Planned Leave should be approved prior to availing leave and if someon is on leave on particular day, he is responsible to submit the leave applicaiton with approved signature from his Superior and should be submitted to the concerned department. Failing to submit the Leave application would result in cut in salary for the day the employee was absent. Request all the employees to follow the policy strictly.

HR Department

You may change the language or add any related thing. The HR department has a responsiblility to inform about the eligibility of Leave to each employee individualy.

Dear Meena,
Thanks alot for the feedback. But what i was looking for is failure of employees to turn up at work rather than a leave of absence.
I have already enforced the cut in salary but i still have a problem with getting employees to turn up at work.
Do you think i will be going too far if i start taking disciplinary action against them?

Dear Cynthia,
Noone wants to take disciplinary action untill the limit is crossed. You may talk to the employees regarding the hurdles they are facing to be regular in office. There are few policies in each organization and if someone is not ready to follow them then they have to face consequences. The policies cannot be changes on person to person basis.
Is it that all of your staff doing so or only a group of employees are not following policies? Talk to them and make sure that they follow rules or if you feel necessary you may take disciplinary action against those ones. Because if you do not take action, more of the employees will start following the same and spoil the work atmostphers in office, which is not at all beneficiary for any organization.

Effective from 7th January 2016, all Project Managers are requested to submit the list of absentees (if any) to the office on a daily basis. Frequent absentees without valid reason will be subjected to disciplinary action by the management.
