Dear Manas,
Its the wonderful job u have done.But I'll give u some suggestions,First is when the new person will enter the office, he/she feel nervousness.So, U have already told to the security person that the new person will start the job on so and so date,and security person directly contact to HR Person that new fellow is coming.Also you have mention the training,joining formalities etc..On the first day You've to give employee handbook to the new comer.
