Dear Swati,
Issue of the Work Order (WO) to the contractor is a work of Commercial or Admin or Commercial Department. Do you work in any of this department?
While issuing the WO, you have to be cautious. It is a document that is valid under the provisions of Indian Contract Act, 1872. Therefore, purchaser and contractor both have to be cautious in clearly defining the scope of work and nothing is left of the imagination of the either party. The language should not be dubious. Roughly, you can include the following points:
a) Quality
b) Quantity
c) Cost
d) Payment Terms
e) Method of inspection of the completed work
f) What will be the measures of performance of the completed work
g) Requirement of the third party to validate the quality of the work
h) Durability of the services or Warranty requirement
g) Statutory compliance
h) Requirement of the specific licenses for the execution of the work
i) Transportation and material handling is under whose scope
j) Insurance
k) Human safety
l) Security of the material at the site (under whose scope)
m) Indemnity to the purchaser
n) Whether personnel deployed by the contractor needs to have special qualification or certificates
o) Material specification, if any
p) Whether material to be purchased from the supplier approved by the purchaser
