Hi Every one, first of all thank you for viewing this Question , i have question require your suggestions urgently - In my office employees are going outside on working time for different purposes (like smoking, personal work, for purchase some snacks e.t.c.) how to stop/prevent them not to go, as we don't have any security guard in our office because it's corporate office hardly 30 employees are there, I am on HR Exe. post, Thank you,

Dear friend,

There are few things that need clarification. Yours if corporate office hence there is no security guard as such. Nevertheless, for an office where 30 employees work, whether it is corporate office or otherwise, you need to have security office.

Secondly, few employees leave office premises during working hours. This fact is observed by HR Executive, by then why this fact is not observed by seniors? Does MD also has his office in the same premises?

Thirdly, employees who work in corporate office are laden with lot of work. Most of them are decision makers. They could be working long also. Therefore, you need to check their attendance records. At what time do they come and at what time do they leave. Possibly their justification could be that they are working too long hence some break is inevitable.

Fourthly, do you have specified lunch and tea time break? In corporate office this is little hard to implement, nevertheless, we need to have information on this count also.

Lastly, as Mr Nathrao has pointed out, did you discuss this matter with your senior? You report to whom? If you report to GM(HR) or even HR Manager then what are his/her views?

There are so many issues associated with your post.

Introduce and maintain movement register and ask the employees to enter the details in the register before moving out of the office. The details such as name of the employee, employee no, time out, time in, reasons for leaving out or break etc. should be noted down and signed by the employee. This register should be reviewed periodically and the employee concerned should be informed of their breaks during such period like a week/fortnight/month etc. Initially, the practice may be initiated informally and later may be made it as a policy/rule and recorded in the personnel records.

All HR Heads, First of all thank you for your reply and suggestions, As i have asked this question for certain reasons like (1) I am sitting in corporate office where every employees are divisional heads even i am directly reporting to MD so even they asked me how can we accurately tracking/stop this things (2) Yes we do have security but in all our factories not in this office (3) Yes we do have lunch break but we are not providing tea breaks for certain reason like some of our employees are from different locations so they are going early they need to everyday catch the train so i suggested/discussed once we can give tea break to stop this but our heads not interested in that because it reduce working time (4) Also we do have list of policy including working hours policy which strictly has to follow everyone and even everyone is following but for me it's hard to track this things going out side for personal work and we all have separate divisions so heads are not aware whether he/she is outside or inside until and unless he is calling on landline (5) but i shall implement as per your suggestions movement register at least we can track them thank you for that. some time even i am facing problems like some said i am going for company's work so i need to cross check with heads or MD but it's ruin the environment and even i am handling entire group of HR department which includes 8 company's 3 different factories location it's hard to spend time on this things but our MD asked me how to stop or prevent that's why i posted this question, so Thank you for your suggestions.
