Dear Deepika,
I am enclosing here with sample letter format as per your requirement. It is not necessary obtain any undertaking form employee since Company's property generally handed over to permanent employees only.

I too agree with Mr.John. The querist members are not having pleasant approach to this forum as they should understand and realize that this forum is containing the most senior and experienced contributing members who are sharing their opinions by virtue of their skill and experience in the HR field. I have not seen a single instant who thanked tp this forum after their problem is solved. It is very pity.

The wording used as Handing over may not appropriate but I feel it should be issue of the assets of the property. A acknowledgement for having received the asset from the employee is must either on the duplicate copy of the letter or by a separate acknowledgement letter or even issue register of the company as at the end of the each financial year this item will be taken into asset value and inventory shall follows.
