Dear All,
I am looking after analysis of various HR policies. Our discussion is regarding recovery of various debit balances i.e. Excess Leave / Guest House deductions / Notice Period recovery etc.
Can anyone provide me good policies to control debit balances of left employees. Basically i want to control debit balances due to Excess leave & Not serving Notice Period.

Debit balances of left employees have arisen because there was some loophole in the procedure.

In case of Employees who wish to leave and put up resignation, their records must be cross checked for excess leave, dues to company, company property in their charge-laptop,mobile- and compiled.

Dues from and to the employee can be worked out and before final clearance is given,a/cs can be settled.

Dues from employees who abscond also have to be worked out and financial effect worked out to see how to recover-from pay not drawn by individual, like if he absconds in middle of the month.

As such gratuity and PF balances cannot be touched by employer.

Policy to review leave, outstanding advances should be laid out so that from time to time a/cs are reviewed.

Company guest houses need to send monthly details of o/s dues if any to main office.First policy should be never allow any dues to accumulate.

This will enable the organisation to prevent excess leave/guest house deductions etc.

Not serving notice period is a contingency which cannot really be prevented.

Probably in such case, company should debate whether to initiate legal action for breach of contract.

Aternatively they should make their employee engagement policy in a manner that an employee will not feel like quitting.
