I am pretty new to cite hr but have heard quite a lot about, here am pressed with something critical & I trust you folks can help me on this.I belong to a placement firm in bangalore wherein we hire for many companies including small companies as well but lot of times candidates seem to be joining the firm without our knowledge & clients also do not intimate us or they tell that a particular candidate did not join or they are rejected but after some months we find that they have joined.
Therefore am in search of a tool/ software that can automate the candidate follow up till it joins the clients end or any methods that can be adopted to ensure proper follow up.

From what you've mentioned above, I believe your esteemed Placement firm earns a commission on every candidate that makes it through the whole process of screening and take up the job. Your concern here seems to be that a few of the candidates that you have assisted for the profile still join the firm but keeping your efforts aloof and thus, the commission that was justifiable yours is negated.
Now this is some serious but a very common issue that troubles every placement firm working on this trajectory. How to solve it then?
The probable solutions are:
1. You cannot keep the client in tap. So, tweak the agreement form. After you have done the initial screening of a candidate, make the potential ones sign an agreement which would clearly state that they are entitled to pay you some pre-decided amount once they get their joining letters. Unless they bid their respective approvals for this piece of paper, their candidature SHOULD not be processed.
2. They very same approach applies to your client. If you can, though there is a very less chance, make the client nod on the term that your placement firm will be the sole entity to source candidates to them, half of your trouble is lessened.
3. Also, while sourcing candidates for the client please add a clause that if a candidate fails to give your part of the justified commission to you, the Client will be liable to pay it upfront.
I am not aware of any software or any portals that would come to rescue in this matter.
My learned friends on this forum can always enlighten you more.
