Please inform on the follwoing and kindly treat as urgent (tons of thnx)
We (HR Dept) asked employees for Address Proof (Electricity bill, Telephone/mobile bill, Driving license, Voter Id card, Ration card)
as a part of personal file maintenance.Now there are some exceptions:
1 One emp does not have the above mentioned for the proof in her name ,living in a rented house and she has her mom to care only i.e relation can be estabished between her father but since he is no more so nothing is collateral relation cannot be established.Now she also has no evidence like monthly rent bill or an agreement between landlord and them.
2 One emp ,just married so no proof direct in her name to prove the address proof.Also bank (though having joint a/c for salary of her husband) has address of her husbands previous employer so bank verification also fails as add proof. Further she is saying that it will take 1 month for the PAN card to be deposited to us
Kindly , help me in CLEARLY explaining that what should one do in this situation and what are other alternatives? Also please mention the relevance of notarization .and how is it done like what is the procedure and WHAT is notarized?
This i am posting because there are differencec on notarization aspects i.e notarization is valid for corroborative evidene also i.e husbands address proof is a vaid one for wife to produce as address proof of her (is such things valid?)
I think if this could be sorted by HR + legal professional ???

why ur going into her husband account details and her personal life details, what u need is address proof. That she already told that there is nothing as such as she is living in rented house, and all,, etc etc.. she also told that she will submit pan card in a month,,
cant u wait for a month till she submits pan card,
or is it so imp for ur company that this add proof is a big issue..

1. Ask them to fill PVF ( Police Verification Form), if its really urgent. Else give them some time.
2. The landlord can write a letter mentioning that they are staying at thier house and they can get it attested to any gazatted officer with seal. It is valid.

this is the typical style in which we live. we start many a things without doing a proper study of the situation. sometimes it may be for a simple reason that we want to do something new, which may be exiting on the thought.
we talk a lot of employee collaboration, building trust, long term association, etc, etc.......
employer pays to the employee based on his / her capabilities. it is a mutual agreement. where one stays is purely individuals decision.
i am commenting this as my company also asks for proof of residence ever since they increased the house rent allowance. none of the lady staff could not produce this as it either in their husband's or father's name.
all is fine, can anyone explain why is it needed? is it a must? why can't we maintain some other details like employee and their family members birthdays, send them greetings and make them feel happy to be a part of the family?

For address proof any of the following documents are sufficient:
1. Pasport
2. Voter Id card
3. Ration Card
4. Driving License
5. Rent Agreement (for rented)
6. Mobile Bills (for post paid connection)
If you get any of these documents your purpose will be served.

In first case the answer is they can get the electricity bill of residence because here every house will be having power connection they get the bill, stating that tenant in that particular house........
in second case you can go for a marriage proof like registration of marriage and showing that certificate with husband bank or driving licience can be taken as the proof...

Dear Pallavi,
in the case of married female, you may take her husband's proof along with her marriage certificate..that should be enough for her address proof ...
regarding the the one who stays in the rented apartment, there must be something like say credit card statement..or bank statement try to check..if any any bill..she receives on her name...if she is still not able to produce..anything..ask her to send amail to u stating the address and the reason she is unable to produce..u may file that mail for recrods.that should be sufficient..
