Dear Mr SR Donka,

I recommend you writing the office circular on your own and uploading it here. Some senior like me will correct it.

However, before you issue the circular, I recommend you doing analysis of working on Saturdays. The points for analysis could be as follows:

a) What is the percentage of employees that work on Saturdays? Is there any pattern amongst employees who work on Saturdays i.e. from particular section or department?

b) How many hours do they work?

c) Reasons for their extra work?

d) Do their bosses like working on Saturday and the staffs come for duties on Saturdays just to please their managers?

e) Have you done workload analysis? Do some jobs merit working on Saturdays because of the nature of their work? For example, certain maintenance of equipment can be done only on Saturdays etc.

f) What is per hour cost to run the air-conditioning?

Issuing the circular carries no meaning unless you study all the above points. If there is any pattern of extra work on Saturdays i.e. first Saturday, last Saturday etc, then before issuing the circular, I recommend you talking to the managers.

Lastly, before issuing the circular, I recommend you convening the meeting of the managers and find out the reasons of extra work on Saturday. Involve them also in making this decision. Do not thrust on them. If you thrust the decision, you may not get buy-in from them.
