Dear Friends
Enclosed is the Paysheet for Subcontractors workmen, which can be used for calculating the PF, and it can be maintained as Register of Muster Roll, Wages Register, and Register of Over Time.
Here you have to feed the Form 13 Sl No, Name, Father Name, Designation, Wage Rate, PF No, That days attendance and Over Time Hours in concerned column. Take the print out for each sub-contractor, obtain the sign from workmen through S/C and file it neatly.
It can be produced to any Labour Inspector, Factories Inspector PF Officials whoever visiting the site.
In case of any changes, if required do let me know the same for further improvement.

Actually our subcontractors are writing the same in printed forms.
For checking the same and making the correction has become a herculian task for my boys. That's why now I have made this format, which can be split into three separate sheets and filed separately subcontractorwise and maintained monthwise.

Dear Bhaskar,
Good for sharing the format, but you are deducting PF only on the Basic, in case if there is DA, and the earning (Basic + DA) is more than 6,500, the formula what you have set is not correct & moreover in the format you have not deducted ESI & PT (if applicable). If the format is incomplete, it will not help for the friends who do not have complete knowledge of Statutory deduction. Kindly update once agains after correction.

Dear Mr. Durga Singh
I made this format for Subcontractor workmen working in construction Industries.
In construction ESI is not applicable.
Till now I have not deducted any PT for labour class people (I am in this field since 01 June 2005).
Always PF will be deducted in Basic pay and not on gross. Please refer a thread posted by our CiteHR member on 08 Feb 2011 regarding PF Deduction Judgement given by Punjab and Haryana High court.
In case the basic is more than Rs.6500/- then instead of 8.33% EPS Rs.541 to be taken into consideration and left over amount to be carried over to Employer PF Share instead of 3.67%, which I have adopted while in Andhra Pradesh.
I hope I have clarified your doubt.

Our is contracting company engaged in fire & security pls confirm that ESIC is applicable or not . Further while you have calculating wages considered no of days present not accounted sundays . is it correct .

Dear Anil Sundays are weekly holidays, If a person called for work on sunday means he must be given double OT.

We engage about 10 piecework contractors, each of whom will send 3 or 4 workers only for few days, like 3 days, 4 days etc.,
We are maintaining their Attendance register. Should we maintain the wage register, or should we get the copy of wage register maintained by each contractor. i understand that we need to have a license to engage contract labour, only if each contractor sends more than 10 workers.
please advise.

This the moral responsibility of the Principal employer to ensure the maintenance of the requisite records. This format will help you to maintain the part of three forms, by which further you can make your PF Statement, If you add ESI, then that too also you can take the calculation from this spread sheet and for preparing the Halfyearly and annual returns too it will be helpful to you.
You must take the license on behalf of the contractors engaged by you.
