Firstly use more emails
Discourage use of photocopiers/printers
Centralize location of photocopiers/printers etc if feasible
Centralize paper/stationary purchase and target reduction in purchases every month
Review all carbon copies--whether copies are needed or relevant
Introduce incentives for reducing paperwork
Use more information boards and less notice boards
use more sms
Have regular cleaning up sessions where unwanted paper gets removed
Review all magazine/newspaper/catalogue subscirptions and reduce the same

Use Custom based softwares to avoid paper use in Office
Employee/Deptt.. using papers keep in strict vigilance and infrom that un-neessay use of paper will affect the perfomance evaluation (in case of individual or Deptt. as a whole).

Dear Chitra,

Paperless office cannot always be 100% foolproof. Information and Password security is always vulnerable to be breached unless tight security arrangements of international standards are there in place. Information from all servers should immediately and automatically be transferred to the main server. Main server should always be out of reach of employees other than the Manager (IT) or the CIO. Besides, there should be mirroring system of the main server.

Besides the soft documents in the server, additional backup system should be very sound and also policy documents and company resolutions should always be kept in hard copies, so that if at any time the server fails, your original hard copies can save the company from disaster.

Remember, today's Hackers are more intelligent than the IT Managers. So, disaster management system should always be ready in the paperless office.
