firstly, make all the arrangements- whatever requirements they have already discussed with you.
either call them them up or mail them and tell them that "following arrangements have been made as per your suggestions.".
and ask them is there anything else missing or they want you to arrange.
secondly, ask them if their travel arrangements are in place; tickets are booked, hotel arrangements are made; and inform that a cab will be ready to pick them up from the airport/railway station as soon as they intimate you about their reaching time.
and finally, tell them that everyone in the department/office is excited about their visit. and you all are looking forward to a learning/enriching experience.

dear soumya,
whenever certain ho staffs are coming you ask them about their entire visit plan. they will clearly indicate the agenda of their visit. from hr point of view you have to arrange vehicle / accommodation / boarding and launching etc. as per your company's terms. if they are coming to check account related matter they may not be inform this in their agenda. if anybody visiting you, please take it easily. also try to avoid unnecessary expence.

In addition to the other suggestion, it is better if you check from your counter parts in other branches where they have already visited go get an idea about their agenda, Likes & Dislikes. It will give you a clear understanding for your preparations.
Lastly, no need to panic, give your best & leave the rest to god.

Dear Soumya,
Just a thought. Why do u need to create the differentiation between HO and Branch employees by giving them royal treatment? They are also a part of the company like branch office employees. I feel just the administrative arrangements such as boarding, lodging, meeting & lunch arrangements should be more than enough. May be you can send an e-mail informing about the visit and a welcome note at the reception.
However you may pls follow the best approach as per your industry. Many members have given good suggestions.
