I am confused abt this thing.. please suggest.
Do we have to state all the HR policies of the co in the appointment letter itself ? if so the App letter will go on & on for pages.. or can we give an appointment letter mentioning only the required details, and then give the newjoinee an employee handbook which explains all the policies in detail?

Hi Anu,
According to our company norms what we do is we give the appointment letter with some major policies mentioned in it. the rest of the company policies would be sent thru mail for their referral.

For E.g.
> Termination
> Compensation
> Retirement
> Probation
> No. of Leaves
> Office timing policy
>Appraisal
>general ethics/Code of conduct
Incl. all this & rest as i said brief him at the time of induction.

Appointment letter shall have the basic information and the terms and conditions of employment. Includes - Date of Joining, Grade, Designation, Salary and incentive / variable pay, probation period, confirmation, extension of probation, notice on probation, notice on confirmation, performance cycle and eligibility, variable pay eligibility, clause on transfer to other locations of the company, hours of work, past record - if any false information provided individual is liable for termination, leave (mention as per the company rules), PF, Code of conduct, confidentiality, condition on breach of any terms of appointment.
You can mention the detailed policies and processes in the employee handbook and provide a hard copy / link to the intranet where the handbook is uploaded for reference.
It would be ideal to have a confidentiality agreement and IP Rights agreement signed as an annexure to the appointment letter. Issue a salary breakup as an annexure to the letter.

Being a HR person,i totally agree with Nitika i.e you have to mention only the basic information(necessary for a new employee),terms & conditions of employment.Rest all can be disclosed through mail or during the induction time.

As the process of issuing the Appointment letter, to every individual employee in the organization and see that the specific document what you are providing to your employee should be specific and clear.
You can add the major points collecting from the Policies and mention in the Appointment Letter.
