Hi Arun,

It is an indication that every one accountable for their functions are not responsible to it. All you have to do to have a viable system and check list in place. Once that is put in place, that has to be monitered regularly and the concerned person accountable for deviation to be informed of it.

You have not mentioned what kind entry,exit and attendance system is maintained in your company. Bio-metric is effective and also you can instal doors which is linked to swiping card or Bio-metric can also help.

Once the employees know that they are being monitered and this will reflect in their PMS, things will improve.

Also empower the security to see that all the system put in place with regard to entry/exit are follwed by all employees.

Also if you think that there is a lack of coordination or direct involvement of the line managers in the whole activity, there is something more than what you see. It could also be matter of employee satisfaction and employee engagement matter.

it seems that boss is liberal in office. employees enjoying it.
simple old trick
call the employee just few mi nits before leaving over phone and ask him to do some petty official job en route.make him feel that he is doing favor to co.after 2-3 days gap put load on him. so simple so easy no cost only tactics .old art of management pat the fellow he carries extra load with smile.

I truely agree with Latha, it is always better to have a coputerized swipe in and swipe out system which calculates your time and those who are not completing the 8 & 1/2 hours duty time may be asked to sacrifice half day leave or may be the supervisor should say it is a approved leave...

Hi Arun,
Your company can buya software which track the in time and out time of employees through their acess cards which they have to swipe each time they goes out or comes in through main entarance, based on which you would be able to have a check on employees who leave early(not completing work hours)
In case company is not able to afford that software you may manually keep a check by requesting employees to pur their checkin and check out time in a register which would be maintained by a guard and which is mandatort to be filled each time employee checks in or checks out.

Some process that can be followed :
Dont allow your employees out side of the company premises without having approved
gate pass / or any other sanctioned form duly approved by their dept. heads.
Instruct / or give authority to security personnels to restrict employees who are moving early in their shifts.
maintain separate register for gate passes
daily scrutiny must be followed by HR
Deduct the salary for those employees who are not following the rules.
that will help to solve your prob.

Dear Arun,
Your concern is rational and obvious.
The Best way to keep track of employees above a staff of 100 employees is via fingerprint detecting and registering system.
This keeps track on employees of their in & out timings and also for how along they are outside the office premises during the lunch time.
Or a swipe card system which keeps track on timings for attendance.
Believe me technology driven HR practices can be trusted in our fast paced life.

Dear Arun,
You can designate someone tto monitor the in & out timings for all the staff members. You can also assign the job to the security guard as well. He himself will enter the details in the register of time sheet & every morning will submit the sheet to HR before leaving. Any cutting or overwritting in the sheet be questioned. also once a while you can make a surprise visit to monitor the same.
Hope this will be easier & faster way to track the same.

We usually Monitor by the In & out Punching through Bio metrix System where u have to Show ID card as well as thumb & fingure to be placed so that it will detect your fingure prints along with the ID will it will caputre your In time as well as out time while going. If u don't have the Bio Metrix than a simple Register will serve the purpose, At the time in & out pl make the entry.So that will be able to trace the time spend.

hi, the problem to track employees leaving early can easily be managed.First is the need to regulate the exit of employees leaving early.The easiest is to involve the security .Do not permit exit of employees without written permission from the concerned line manager/or to report such exit so as to involve disciplinary action.The other is amatter of framing a policy, the following points can be borne in mind while framing a policy (a) rules governing halfdays and leaving early (b) chain of command authorising such leaves (c) penalities or deuctions from salary for unauth absence (d) redressal mechanism in case employee is aggrieved about not being granted halfday/allowed to leave early
